Meeting Room Use Policy

LIBRARY FACILITIES AND EQUIPMENT USE POLICY

Reservations for the use of meeting rooms and equipment are made with the Director or a staff person designated to fulfill that responsibility. 

Meeting rooms and equipment are for the use of non-profit groups, clubs, and community organizations. 
Space is allocated on a first come, first served basis. 

All groups using library meeting space must agree that their meetings will be open and that their groups/  organizations do not discriminate for any reason.  Meetings held at the Library are to be free of charge to attendees.

Use of library meeting rooms is free of charge although donations are very much appreciated. 

Certain for-profit activities may be scheduled if space is available.  An example would be use of the rooms for taking legal depositions, classes, or counseling sessions.  For these activities, a suggested donation of $25/hr. will be requested in advance to cover library costs.

Groups that do not show up for their reserved time may be refused future reservations.

Library events take precedence over all other uses of library spaces and equipment.  If it becomes necessary, the Library may pre-empt another group’s scheduled use of a room or piece of equipment.

Meeting rooms and equipment are available only during normal Library business hours.  All groups must leave the building at the Library’s closing time.

There is to be no on site sale, or offer of sale, of materials by any group, club, or organization.

Each group, club, or organization using a meeting room will arrange the furniture for its meeting.  The  room(s) are to be left as clean and neat as they are found.

The Library shall be reimbursed the cost of repairs for any damage to equipment and/or facilities.

No alcoholic beverages are permitted on the Library’s property.

Smoking is prohibited anywhere in the building or within 25 feet of the entrances.

Any use of equipment offsite must be approved by the Director.

The Director is charged with the interpretation and implementation of this policy.

Exceptions to this policy may be made at the discretion of the Library Director.

Each group will be given a copy of this policy at the time a room reservation is made.  A representative of each group will be asked to sign a form indicating the policy has been read and accepted.  Use of rooms, storage areas, and equipment implies acceptance of all provisions of this policy.
